Ready for your next opportunity? Busways’ is looking for a detail-driven and systems-minded Bid Systems Coordinator to support our bid team by managing document control, templates and AI-enabled tools to ensure high-quality, compliant tender submissions.
What You’ll Be Doing:
- Maintain compliant document control and version accuracy across all bids.
- Manage tender document data rooms and document production process for EOIs, RFIs and tenders including formatting and editing.
- Maintain and apply bid templates and formatting standards consistently.
- Coordinate bid development and production requirements including printing, binding, packaging, and electronic uploads.
- Configure tender portals, SharePoint libraries, and AutogenAI workflows.
- Ensure submission logistics are completed accurately and on time.
- Create, capture and maintain bid knowledge, content, tools and assets.
- Support continuous improvement in bid systems and AI-enabled workflows.
What You’ll Bring:
- Experience in administration, coordination, or document control in a professional services environment.
- Exposure to tendering or proposal environments, or similar deadline-driven, team-based work.
- Ability to manage competing deadlines calmly and accurately.
- Advanced Microsoft Word skills, including templates and formatting.
- Strong attention to detail and organisational discipline.
- Quick and curious learner with new technology and systems.
- Interest in AI and integrating AI to make workflows and deliverables more efficient and higher quality.
- Must be an Australian Citizen, Permanent Resident or have working rights in Australia.
