About the role

Reporting to the Senior Purchasing Officer, this role is based in our Pymble Support Office and sits within the Purchasing team. It has a key focus on the provision of administrative functions around purchasing and asset/fleet management.

Role responsibilities

Key responsibilities for this position include the following:

Purchasing

  • Process all authorised purchasing requisitions and requests where required, ensuring to follow the purchasing guidelines
  • Verify invoice accuracy, investigate price increases
  • Ensure that all purchase prices are the best price available whilst fitting in with an appropriate estimated date of arrival
  • Make necessary arrangements for equipment repairs
  • Ensure that administrative systems, databases, spreadsheets and reports are maintained and provided in an accurate and timely manner providing up to date information when required
  • Check information, investigate, resolve and correct data discrepancies, interpret technical information and ensure consistent recording and entry of maintenance data into related software in order to record accurate purchasing records and parts inventory data

Asset Management

  • Maintain system data for asset records to ensure that the data is current and accurate
  • Check information, investigate, resolve and correct data discrepancies, interpreting technical information and ensuring consistent record and entry of maintenance data into related software in order to record Asset Maintenance, Usage, Servicing etc.

Other

  • Various other administrative tasks as required by management.

To be successful in this role you must have:

  • Minimum of 2 years previous experience a purchasing or accounting role; Certificate IV in Procurement and Contracting or an equivalent combination of relevant experience and/or education/training
  • Intermediate experience in MS Excel, Excel formulas, MS Word, MS Outlook
  • Demonstrated problem-solving skills, the capacity to successfully deliver high quality outcomes and meet deadlines
  • A sound ability to communicate and engage with employees at all levels
  • Strong organisational and time management skills and excellent attention to detail
  • Prior experience in a purchasing or accounting role would be highly regarded
  • An interest in/understanding of the mechanical industry would be beneficial
